The Early Planning Stages

Guest List Essentials

Begin with the end in mind: envision your wedding's atmosphere to determine its size. Start with close family and friends, then extend the list as your budget allows. Your guest count directly influences venue choice, catering, and overall budget so actually working out who you want at your wedding before you lock in on a venue is really important to help your planning run smoothly.
Make decisions together to ensure your guest list aligns with both your visions and practicalities.

Pro Tip! - I used this for my wedding planning and it helped “cull” the list a little. I just asked my self would I buy or “we” buy this person a drink in a pub, if not then why are we paying £80 - £120 per head on food, lets just make them an evening guest and save it.

Choosing Your Wedding Date

Think season, not just a date. Decide whether you prefer the ambiance of spring, summer, autumn, or winter and how it complements your wedding style. (we will get onto that) This choice will guide your venue selection and help you secure a date that fits both your dream and availability. Flexibility can be key in getting the perfect venue and vendors.
Research: Begin with online inspiration from wedding blogs and social media to see how venues look across different seasons.

  1. Match Venue with Season: Pick venues that naturally complement your desired season (beaches for summer, Barns for winter..etc.

  2. Visit and Visualize: Tour venues during your chosen season to experience their true atmosphere and ask about seasonal specifics, like rate changes and weather back up plans if you are thinking about any part of the wedding being outside.

  3. Guest Considerations: Keep guest comfort in mind, considering factors like travel ease and weather appropriateness can be something to consider as well, what are the local hotels like etc.. .

  4. Be Flexible: Broadening your date range can help secure your venue. Off-peak times might offer better rates and availability.

Simplifying these steps makes the process more manageable, ensuring you find a venue that both meets your vision and accommodates your guests comfortably.

Defining Style and Theme

What vibe are you going for? Rustic, elegant, modern? Decide on a theme that reflects your personalities and story. This decision will inform everything from your venue choice to decorations, attire, and even the tone of your invitations. Consistency is key, so ensure your theme is clear and coherent throughout all elements of your wedding.

  1. Identify Your Vibe: Start by discussing with your partner to determine a theme that feels true to both of you—rustic, elegant, modern, etc.

  2. Theme Influence: Your chosen theme will guide key decisions—venue, décor, dress code and invitations, ensuring a unified look and feel, think back at school with arts and crafts, this can be a really fun part of the wedding planning to help make it all feel a little less stressful.

  3. Consistency Matters: Maintain a clear and consistent theme across all wedding elements for a cohesive and immersive experience for you and your guests, try and stay away from querky wedding trends as these will come and go, and you should be able to look back

Budget Planning - Free template here Click to download

Start with the big picture and prioritize. Key expenses include venue, catering, and photography—these are essential for capturing the essence of your day. Break down your budget into categories, allocate funds accordingly, and stick to it. Remember to include a contingency for unexpected costs. Clear communication and agreement on priorities with your partner are crucial for a stress-free planning process.

Smart Saving Tips for Your Wedding

  1. Prioritise Essentials: Determine what's most crucial for you both, such as the venue, catering, and photography. These are vital for capturing the essence of your day, so allocate your budget to these areas first.

  2. Budget Breakdown: Organise your budget into distinct categories for better management and oversight. This approach aids in making informed choices and efficiently tracking your spending.

  3. Cut Unnecessary Extras: Assess each budget category for potential savings, eliminating expenses on things that don't align with your top priorities. Consider digital over printed invitations or simplify your decor.

  4. Embrace Flexibility: Being flexible with your wedding date or season can lead to considerable cost reductions. Many venues and vendors offer lower rates during off-peak periods or weekdays.

  5. DIY When Possible: Adding personal, handmade touches can not only save money but also enhance your wedding’s uniqueness. From decorations to invitations and favours, consider what elements you can create yourselves or with the help of friends and family.

  6. Choose a Comprehensive Venue: Opt for venues that include multiple services in their packages, such as catering, seating, and décor. This can be more economical than hiring individual suppliers for each aspect.

  7. Allow for Unexpected Expenses: Allocate a portion of your budget for unforeseen costs to avoid last-minute financial surprises.

  8. Clear Communication: Keep an open line of communication with your partner about the budget, ensuring you make decisions together and stay aligned on your financial limits and priorities.

Implementing these strategies can help you manage your wedding expenses effectively, allowing you to enjoy your special day without worrying about overspending.

Mid-Planning Steps

Choosing the Perfect Venue

Selecting your ceremony and reception venues is a pivotal moment in your planning journey. Evaluate their suitability based on location, style, amenities, and budget. Once chosen, make sure to ask if they have any discounts or promos on too. Often you can save 5% just by asking.

Giving Notice of Your Wedding

Ensure that you notify relevant authorities of your marriage for legal and administrative purposes. Booking a registrar is a crucial step in the wedding planning process, ensuring that your marriage is both meaningful and legally recognised. Even if you are having a celebrant for your wedding day you will still need to give notice of this. Search for your local registry office as the rules change depending on the county you live in.

(This one nearly tripped me up when I was planning mine!)

Personalising Your Invitations

Designing your wedding invitations is a chance to infuse your personality into every detail. You can use photos from our engagement session here too which is a lovely twist to share your personal story. But more importantly, get those save the dates out at least 9 months in advance, and then the official invites approx. 3 months before so you can lock in all your requirements with the venue and catering.

Final Touches:

The Countdown to "I Do"

Partnering with Wedding Professionals

Your wedding day will be a culmination of various elements. Hiring professionals who know their craft will allow you to remove the stress of having to worry about things. Think photographers, videographers, caterers, florists, entertainers, Live music, Magic shows, Photo Booths, DJ’s, I will list a few of my favourites to help you.

Often people forget about the entertainment part of the wedding day, so once you have eaten a bit of food it’s all down to the DJ

At the bottom of this guide I have included a check list as well as an average wedding day timeline to help you and your vision.
Of course everything is unique and not all weddings run the same way, but hopefully this has helped you create a structure that can help you plan your day stress free.

A few kind words

    Mr. & Mrs Islam

Amazing Photographer, will indeed use again!

From the start Chris helped us find a suitable package for our wedding day photography. His main focus and mission was to ensure we were comfortable on the day and suggested we met up before the big day to get to know us as a couple as well as the venue surroundings for ideas on photo opportunities.

On our big day, Chris was like a friend, he was smiling and making our guests feel comfortable. He got on with everyone and all our guests has only the nicest things to say about him.

Chris had used a drone during our wedding to capture the best group photos and scenery of our venue. We got lucky on our wedding day, it rained all morning, Chris had promised me, he has the nickname lucky... what do you know, the sun came out in time for our ceremony, family photos and our special couples shoot.

In 3 weeks after our wedding, Chris worked hard to get our photos edited and make them look natural and perfect. Thank you again Chris we absolutely love them, as well as our beautiful photo on a slate gift! You have a natural talent and we are excited to see all your future work online! —— Our love, Kat and Tabs

    Incredible Wedding Photographer!

I cannot recommend Chris highly enough!. He recently did the photography for our wedding in the Cotswolds. Every aspect of the day and what Chris did was utterly flawless; the organisation, the planning, the communication, the guest management, the creativity and most importantly, the photos! They completely exceeded our expectations, nothing needed editing, he also incorporated video, drone footage and half way through the wedding day itself he gave us some mini prints. In addition to Chris’ professionalism (which many of the guest have already mentioned), he’s a really nice guy and we had such a laugh. Thank you so much for making our special day so perfect, we will recommend you to everyone , hope to see you again! Greg & Emily

    Fantastic Photographer

Chris was fantastic throughout the whole process! We booked Chris though Hitched and he was quick to respond to messages. Before we booked Chris came out to see us which was great so we could have a chat about everything. We booked an engagement shoot as my partner isn’t particularly comfortable getting his photo taken so we wanted to get to know how Chris worked so he could feel more comfortable on the wedding day. Chris put my partner at ease and made the engagement shoot lots of fun. We are still so pleased with the results! …Chris had everything sorted as our photographer. Chris is so enthusiastic and when the wedding day came it was great to know it was all in hand. Chris went above and beyond and we absolutely love our wedding photos! He captured everything so beautifully.

    An Outstanding professional humble guy

We instantly took to Chris at the Swan hotel Wedding fair. He was charming and professional and made us feel completely at ease that he could offer us a perfect service on our wedding day. We stayed in touch upto the day and he was always there for us with any questions we had and he also gave us some goods ideas too.

On the day, he went over and beyond to make our guests and ourselves feel so comfortable that sometimes we didn't even notice he was there. He was so professional and captured every moment of the day.

When we first go to see some photos we were blown away by how beautiful they were. Chris has given us and our friends and family memories to keep forever and we are eternally grateful to him. We would highly recommend Chris to everyone who wants to have the perfect memories of there special day
